These terms govern your use of CrewRelay's AI-powered phone answering and SMS notification service for martial arts studios and fitness businesses.
1. Service description
CrewRelay provides AI-powered phone answering, automated booking management, and SMS notifications for businesses. Our service includes:
- 24/7 AI phone answering using Claude AI
- Automated trial class and private lesson booking
- SMS confirmations and notifications
- Staff and owner mobile web applications
- Multi-location management
- Usage analytics and reporting
2. SMS messaging terms
2.1 Consent to receive SMS
By providing your mobile phone number to CrewRelay or one of our clients, you consent to receive transactional SMS messages regarding:
- Appointment confirmations - Immediate confirmation when you book a trial class or private lesson
- Appointment reminders - Reminders sent 24 hours before your scheduled appointment
- Schedule changes - Notifications if your appointment time or location changes
- Account notifications - For staff and owners only: security alerts, usage warnings, and system notifications
2.2 How consent is collected
Consent to receive SMS messages is collected through:
- Phone booking - When you call a CrewRelay-powered business and provide your phone number, our AI confirms: "I'll send you a text confirmation at [phone number]. You'll receive appointment reminders and can reply STOP anytime to opt out. Message and data rates may apply."
- Web or app booking - When booking through a business's website or app, you check a box consenting to SMS notifications before submitting.
- In-person booking - When staff members book appointments for you in person or over the phone, they verbally confirm your phone number and inform you that you'll receive text confirmations.
- Staff/owner enrollment - When creating a CrewRelay staff or owner account, you provide your mobile number and consent to receive account-related notifications.
2.3 Message frequency
Message frequency varies depending on your activity:
- Customers: 1-2 messages per appointment (confirmation + reminder)
- Staff: Up to 5 messages per week (authentication codes, lesson notifications)
- Owners: Up to 10 messages per month (usage alerts, system notifications)
Message and data rates may apply. Contact your mobile carrier for details about your messaging plan.
2.4 How to opt out
You can opt out of SMS messages at any time by:
- Replying STOP to any message from CrewRelay
- Contacting the business directly and asking to be removed from SMS notifications
- Staff/owners: Updating preferences in your CrewRelay account settings
When you opt out, you will receive one final confirmation message stating: "You've been unsubscribed from CrewRelay messages. No more messages will be sent. Reply START to resubscribe."
After opting out, you will not receive any further SMS messages except as required by law.
2.5 Help and support
For help with SMS messages, reply HELP to any message or contact:
- The business that sent the message - Contact information is included in messages

2.6 Message delivery disclaimer
CrewRelay uses Twilio to deliver SMS messages. Neither CrewRelay nor Twilio is liable for delayed or undelivered messages due to:
- Mobile carrier issues or outages
- Network congestion
- Device or phone number issues
- Spam filtering by carriers
If you consistently don't receive messages, contact support@crewrelay.ai for assistance.
2.7 No marketing messages
CrewRelay does not send marketing or promotional SMS messages. All messages are transactional (confirmations, reminders, notifications) or operational (security, system alerts).
Individual businesses using CrewRelay may send marketing messages through other platforms, but these are separate from CrewRelay's transactional messaging and require separate consent.
3. Account terms
3.1 Eligibility
To use CrewRelay, you must:
- Be at least 18 years old
- Operate a legitimate business
- Provide accurate contact and billing information
- Comply with all applicable laws and regulations
3.2 Account security
You are responsible for:
- Maintaining the confidentiality of your account credentials
- All activity under your account
- Notifying us immediately of unauthorized access
3.3 Acceptable use
You may not use CrewRelay to:
- Send unsolicited marketing messages (spam)
- Violate any laws including TCPA, CAN-SPAM, or telecommunications regulations
- Impersonate others or misrepresent your identity
- Send abusive, threatening, or inappropriate content
- Attempt to gain unauthorized access to our systems
4. Pricing and payment
4.1 Subscription fees
CrewRelay is billed per location per month:
- Founder tier: $149/location/month (first 10 clients, $50 off standard forever)
- Standard tier: $199/location/month
- Growth tier: $299/location/month
- Enterprise tier: $499/location/month
Each tier includes voice minutes and SMS messages as specified on our pricing page. Usage beyond included amounts incurs overage charges.
4.2 Overage charges
- Voice minutes: $0.25-$0.35 per minute depending on tier
- SMS messages: $0.02 per message
4.3 Payment terms
Subscriptions are billed monthly on the 1st of each month. Payment is due immediately upon billing. We accept credit cards via Stripe. Failed payments may result in service suspension after a 15-day grace period.
4.4 Refund policy
14-day money-back guarantee: If you're not satisfied within the first 14 days, contact us for a full refund, no questions asked.
After 14 days, subscriptions are non-refundable. You may cancel at any time with 30 days notice.
5. Service modifications and termination
5.1 Service changes
We may modify, suspend, or discontinue any part of the service at any time. We'll provide 30 days notice for material changes that negatively affect functionality.
5.2 Price changes
We may change pricing with 90 days notice. Current customers will be grandfathered at existing rates for 6 months after any increase. Founder tier customers always receive $50 off the standard rate.
5.3 Your termination rights
You may cancel your subscription at any time with 30 days notice. Service continues through the end of your billing period. No partial refunds for cancellations.
5.4 Our termination rights
We may suspend or terminate your account if you:
- Violate these terms
- Fail to pay amounts due
- Engage in fraudulent or illegal activity
- Abuse or misuse the service
6. Data and privacy
Our privacy policy explains how we collect, use, and protect your data. By using CrewRelay, you agree to our privacy practices.
7. Intellectual property
CrewRelay and its original content, features, and functionality are owned by CrewRelay and are protected by copyright, trademark, and other intellectual property laws.
8. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, CREWRELAY SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS OR REVENUES, WHETHER INCURRED DIRECTLY OR INDIRECTLY, OR ANY LOSS OF DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES.
Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim.
9. Indemnification
You agree to indemnify and hold harmless CrewRelay from any claims, damages, losses, liabilities, and expenses arising from your use of the service or violation of these terms.
10. Dispute resolution
These terms are governed by the laws of California, United States. Any disputes shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association.
11. Changes to terms
We may update these terms from time to time. We'll notify you of material changes via email or SMS 30 days before they take effect. Continued use after changes constitutes acceptance.
